Schoen Clinic Chelsea, are looking for an Operations Manager to oversee the daily workings of the clinic, to plan, manage and implement schedules and processes to ensure that the clinic runs efficiently and maintains a high-quality standard that meets the expectations and needs of our service users.

Description

To oversee the daily workings of the clinic, to plan, manage and implement schedules and processes to ensure that the clinic runs efficiently and maintains a high-quality standard that meets the expectations and needs of our service users.

The Operations Manage will:

Be a member of the Chelsea Senior Leadership Team
Lead on the non-clinical operational functions of the clinic
Promote quality and an effective response to ensure anyone enquiring about the clinical services and/or being seen at the clinic engages well with us as far as possible and experiences excellent customer care.


MAIN RESPONSIBILITIES


General
Health & Safety Coordinator to ensure a safe working environment without risk to health.  Ensure that all health & safety policies, procedures, rules and regulations are adhered to and are regularly reviewed, updated and communicated.  

Support the Clinic Director in delivering on actions agreed at the quarterly health & safety meetings.

Lead the administration team in ensuring smooth process for invoicing and that patient aged debt is kept to a minimum.

Assist the accounts team in keeping accurate records for purchasing. 

Maintain audit of external contractors to the clinic ensuring timely service provision to meet regulatory requirements.

Ensure clear and accurate processes are adhered to with purchasing and procurement.

Liaise with IT for all on site day to day IT queries and ensure solutions are provided in a timely manner to avoid any delays in operation. 


Management
Manage the administration team supporting operations by supervising staff, planning, organising and implementing administrative systems.

To chair and organise regular Administration Team Meetings and feedback to the Clinic Director regarding any areas of development and/or concerns.

Manage housekeeping staff and ensure they are adhering to COSHH regulations.

Manage the maintenance staff ensuring work is carried our appropriately, overseeing the installation, repair and upkeep of the Clinic.

Be responsible for the maintenance of statutory records, for example, accident book, fire equipment test log etc.

To ensure there are robust security measures in place for the clinic premises.


Administration
Liaise with the corporate billing team to resolve any billing issues and outstanding tasks.

Develop and influence new administration systems which evolve in light of changing needs and demands on the service.

To ensure the administration team adhere to the legal requirements of the GDPR and Data Protection Policies.

Operate within own professional competence and maintain professional boundaries.



Organisational
Actively support values of equality, diversity and inclusion within the staff team.

Read and comply with all relevant Schoen Clinic and statutory policies and procedures.

Report any untoward incidents in line with Schoen Clinic policy and procedures.

Report any safeguarding concerns in line with Schoen Clinic policy and procedures.

Contribute to Schoen Clinic’s Clinical Governance arrangements, health and safety standards and quality agenda. 

Work with the Clinic Director, nursing and therapy staff to identify areas for improvement and implement necessary change.


Communication
Maintain an up to date calendar of planned groups and appointments and manage own workload. 

Liaise with the Mental Health Business Manager to give an overview on site performance and quality.


Clinical leadership/management
Act as a positive role model to all members of the  MDT 

Facilitate feedback and staff debriefing sessions as required by the service. 

Work with the clinical team to ensure that Schoen Clinic Chelsea continues to maintain a high profile in the eating disorders and anxiety ad depression disorders networks.

Represent the Schoen Clinic Chelsea administration team during inspections such as CQC and any other reviews.

Contribute to good governance of the clinic and the ongoing projects that are a part of this.

SUMMARY
This list of responsibilities is not exhaustive and the post holder may be required to undertake additional duties which fall within the remit of the role, in discussion with the Clinical or Service Manager.
