Schoen Clinic Newbridge are recruiting for an experienced Operations Manager to oversee the daily workings of the Unit.

Oversee the daily workings of the unit, to plan, manage and implement schedules to ensure deadlines are met, and maintain a high-quality standard, ensuring Schoen Clinic Newbridge is running well as it possible can, with a smooth efficient service that meets the expectations and needs of our service users, our commissioners, and regulators, e.g., CQC.

Key Responsibilities:

General:

  • Local HR Administration managing and supporting central HR department with the recruitment process to include the management of personnel records and IT set up.
  • MHA overseeing the processes and systems to support compliance with the Mental Health Act and Code of Practice.
  • H & S Coordinatorto ensure a safe workplace environment without risk to health. Ensure that all Health & Safety policies, procedures, rules, and regulations are adhered to and are regularly reviewed, updated and communicated.
  • Payroll & Financial support submitting payroll promptly within expected deadline. Deal with any queries which may subsequently arise. Assisting the accounts with petty cash, invoice approval and purchase order control.
  • Audit maintain audit of external contractors to the Unit, ensuring timely service provision to meet regulatory requirements.
  • Training & awareness oversee to maintain accurate training records for all staff, ensuring compliance is met.
  • Rota function oversee ensuring adequate and effective coverage of the Unit.
  • Ensure prompt and accurate typing of correspondence, reporting to NHS-E and deadlines met within set timeframes.
  • Document and manage all business enquiries to the unit.
  • Liaise with service providers for IT, telephony, access control.
  • Clinical commissioning managing referrals to the Unit, liaising with Clinical staff, external contacts, and Commissioners.
  • Safeguard confidentiality of information relating to both patients and staff.
  • Be responsible for own professional development and ensure that an adequate Continuing Professional Development log is maintained.
  • IG – oversee the corporate IG strategy.
  • Local administrator for NHS mail.

Management: Line management and day to day direction of the following teams:

  • Manage the administration team supporting operations by supervising staff; planning, organising, and implementing administrative systems
  • Oversee the management of the housekeeping staff, implementing rotas and schedules as required to manage extended premises to ensure that they perform to the prescribed hospital standards.
  • Oversee the management of the catering department, implementing chef rotas as required.
  • Manage the maintenance team, ensuring work is carried out appropriately, overseeing the installation, repair, and upkeep of the Unit.

Building Management:

  • Ensure that Health & Safety legislation is adhered to.
  • Ensure that the Unit is maintained in good repair and liaise with appropriate personnel who have responsibility for such work.
  • Be responsible for the maintenance of statutory records, for example, accident book, fire equipment test log etc.
  • Facilitating and maintain communication links with external contractors, overseeing refurbishment and new projects

Organisational:

  • Work with the Hospital Director to promote the work of the Unit to commissioners and contribute to Newbridge House aims and objectives.
  • Act as the Administrator for all documentation associated with formal admission under the Mental Health Act 1983/2007
  • Liaise with Hospital Director and nurse teams to ensure timely completion of deadlines associated with patients detained under the MHA.
  • Be responsible for reading, understanding, and complying with all relevant Newbridge House policies and procedures.
  • Contribute to Newbridge House’s Clinical Governance arrangements and quality agenda.
  • IG ensure compliance with the corporate IG strategy.
  • NHS returns including MHSDS & ACM submissions.

Communication:

  • Ensure that adequate and timely written records are kept which comply with Schoen Clinic Newbridge policy.
  • Develop and maintain an effective system of communication.
  • Be responsible for timely and accurate written and verbal reports.
